How I look after your details.
Cup of Green Photography is run by me, Elena Suhova, as a sole trader based in Caterham, Surrey. This page explains what I collect when you use this site or book a session, why I collect it, how long I keep it and what you can ask me to do about it. It's written in plain English on purpose. What I collect, and why
When you get in touch. Whether you email, message me on WhatsApp or book an intro chat through Calendly, I'll have your name, how to reach you and whatever you tell me about the session you're after. I use it to reply and to plan the shoot with you. The legal basis is taking steps at your request before we agree anything, and my legitimate interest in answering people who contact me.
When you book. I'll hold the details in our session terms: names, the address or location for the shoot, dates, and who's being photographed. I'll also keep a record of what you paid. Payment is by bank transfer, so no card details ever pass through this website. The legal basis is our agreement, plus the legal duty to keep accounting records.
When you download a guide or register interest. The what-to-wear guide, the autumn sessions list and the Brand Day waitlist each ask for your email, and the waitlist asks for your name too. I use them to send you the thing you asked for and, where the form says so, an occasional note when I open new dates. That's based on your consent, and you can stop it any time by replying "stop" or emailing me.
The photographs. Photos of you and your family are personal data too. I store them securely, colour-correct and finish them in my style, and deliver them through a private online gallery. Your gallery stays live for three months and I keep a backup for a year, then it's deleted unless you've asked me to keep it longer. I only use your photos in my portfolio, on this site or on social media if you've agreed to that in our session terms, and I'll always ask again before sharing photos of children.
What this site does in the background
No cookies from me. Visitor numbers are measured with Plausible, which doesn't set cookies, doesn't track you across sites and doesn't tell me who you are. It counts pages, not people. If you'd rather not be counted at all, there's a one-click opt-out.
Hosting and forms. The site is hosted by Netlify, and anything you type into a form on this site is stored in my Netlify account and emailed to me.
Booking a chat. Intro chats are scheduled through Calendly, which has its own privacy notice. The same goes for WhatsApp (run by Meta), Google (reviews and maps) and the social links in the footer: once you're on their site, their rules apply.
Who sees your details
Nobody I don't need. Your details go to the providers above so the site and my bookings work, to my accountant if a payment record needs checking, and to anyone the law requires me to share them with. I don't sell or rent your details to anyone. Some of those providers store data outside the UK; where they do, it's under safeguards recognised by UK data protection law.
How long I keep things
- Enquiries that don't become a booking: 12 months, then deleted.
- Client records and session terms: six years, because HMRC asks me to keep accounting records that long.
- Photos: gallery live for three months, backup for one year, then deleted unless you've agreed to portfolio use.
- Guide and interest lists: until you unsubscribe, or until I stop running that list.
Your rights
You can ask me to show you what I hold about you, correct it, delete it, stop using it for a particular purpose or hand it over in a portable format. If something is based on your consent, you can withdraw that consent whenever you like. Email hello@cupofgreen.photography and I'll come back to you within a month, usually much sooner.
If you're not happy with how I've handled your details, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. I'd rather you told me first, so I can put it right.
